Description:

  • Administrative Support: Provide administrative support to senior management and staff, including handling correspondence, supporting business trip (air tickets, hotel booking, visas, APAC cards, housing rental...). Prepare reports, presentations, and documents as required.
  • Facility Operation: Oversee the day-to-day operations of the office facility. This includes managing office supplies (stationery, toiletries, indoor plants...), coordinating with vendors and service providers (cleaning, pest control, F&B…) to ensure a safe and comfortable environment.
  • Staff Management: Supervise administrative staff. Assign tasks, provide guidance, monitor performance, conduct training, and address any performance or disciplinary issues as necessary.
  • Budgeting and Finance: Assist in budget planning, optimizing and monitoring, including managing office expenses, tracking invoices, and reconciling financial records.
  • Communication and Coordination: Serve as a central point of contact for internal and external stakeholders. Facilitate effective communication within the office, across departments, and with external partners.
  • Records and Documentation: Maintain and organize office records, files, and databases. Develop and implement efficient filing systems, ensuring compliance with data protection and confidentiality policies.
  • SOPs & Policy Implementation: Develop and update office policies and SOPs as needed. Communicate changes to staff, stakeholders and promote compliance.
  • Technology and Systems: Evaluate, implement, and manage office technologies and systems to enhance productivity. Provide training and support to staff on the effective use of these tools.
  • Problem Solving: Identify operational inefficiencies, bottlenecks, or issues that hinder productivity. Propose and implement solutions to improve workflow, and enhance office efficiency.
  • Event Organization: coordinate with external vendors and internal departments across the company to organize health seminars, internal events, etc... This includes purchasing and distributing gifts for company employees.

Yêu cầu

  • Bachelor's degree in business administration, management, or a related field.
  • Proven experience of at least 5 years in office management or a similar administrative role for a company with over 2000 employees.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities in both Vietnamese and English.
  • Proficiency in office software (e.g., Microsoft Office Suite, project management tools).
  • Familiarity with budgeting and financial management principles.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Problem-solving and decision-making skills.
  • Leadership and supervisory experience.
  • Attention to detail and accuracy.
